Meetings, plans and task tracking
Learn
An AI assistant can turn notes into agendas, action registers, risk lists and study plans. Good planning outputs distinguish decisions already made from possible suggestions. An action register should not assign someone a responsibility without confirmation. A risk register should describe possible consequences and existing controls without pretending to be a formal technical assessment.
When a meeting summary is drafted, send it to the meeting owner for review. For project work, use version dates so that readers know which record is current. A helpful instruction is to separate "Confirmed", "Proposed" and "Unresolved" items. This is especially valuable when stakeholders might later rely on the notes.
Worked example
Fictional project notes: "Inspect rooms A and B before Friday. Budget check pending. Sam will draft the agenda." Ask for an action tracker with status and a separate list of open questions. The tool should not invent who owns the budget check.
Practice
Create six invented meeting notes with two decisions, two actions and two unresolved questions. Generate a tracker. Compare the output with the original notes and remove anything not supported.
Key takeaway
Good AI-assisted planning makes ownership and unknowns visible.
